Job title: Reception & Adminsitration Apprentice – Apprenticeship

Location: Paddington, London

Wage: £14,000 per annum – Paid travel & Free Lunch

Start date: ASAP

Working hours: 8.30am – 5.30pm

Time spent in training: You are required to spend a minimum of 7 hours per week in training that supports your apprenticeship course

Course entry requirements: GCSEs at grade C/level 4 or above in English and Maths

About the role:

My client is a creative agency, from their 8 offices, they design for brands with bold ideas and brave hearts. With over 300 designers and strategists in 8 cities. They fuse original insight and creative flair to deliver breakthrough strategy, design and innovation for bold and aspiring clients

Job duties and responsibilities:

  • Meet and greet all visitors, offering refreshments and taking coats/bags for storage where required.
  • Answer the door entry phone and main switchboard, transferring calls and relaying messages taken. Ensure reception is never left unmanned between 8.30 and 5.30.
  • Manage the flowers in Client areas and work with florist as needed.
  • Ensure the post is distributed and franked each day.
  • Order the staff lunches on a weekly basis.
  • Managing taxi bookings and assisting with other travel tasks as necessary
  • Keep a log of staff attendance for daily records and highlight any holiday and sick leave to OM for system logging.
  • Update the stationery and maintenance logs ready for orders and visits.
  • Manage the car park bookings as necessary.
  • Ensure telephone system is periodically updated and liaise with Technology Manager for maintenance. Monitor user voicemails and certify that they are set up appropriately and messages delivered correctly.
  • Maintain periodic updates of user extension directories in meeting rooms and communal areas.
  • Take primary responsibility for the co-ordination and set up of Company meetings.
  • Help maintain the Reception and Support Manual, using initiative to develop this where it can be.
  • Travel bookings – national and international
  • Ad hoc typing or other duties and support to other staff if needed.
  • Office Management support
  • Work closely as a support to the Office Manager, sharing and supporting duties as needed..
